Child Development Resource Connection Peel (CDRCP) respects your right to privacy. We are committed to protecting the confidentiality of your personal information and to adherence to federal and provincial legislative requirements with respect to safeguarding privacy. This privacy statement describes how Child Development Resource Connection Peel (CDRCP) collects, uses, stores and protects the personal information you entrust to us.

What is personal information

Personal Information means information of a personal nature that is connected or could be connected to an identifiable individual. This may include, your name, contact information, email-address or other information about you. Personal information may also include more technical information, such as an IP address, but only when this information can identify you as an individual.

What Personal Information Does CDRCP collect?

CDRCP collects information it has authority to collect to deliver services to you under FIPPA38(2), MFIPPA 28(2) to deliver services. The type of information we collect from you will depend on the service you receive from CDRCP. CDRCP collects records of conversations including phone conversations, online chats, and SMS for training and quality purposes.

How is personal information collected?

We collect your information directly from you by telephone, mail, email, online chat and secure web-based portal. We may also receive information about you, with your consent, through referrals received from third-party organizations such as schools, children’s services and community programs.

Cookies

Cookies are small files that a website transfers to your computer’s hard drive through your web browser that enables the website’s systems to recognize your browser and capture and remember certain information.

What types of cookies does CDRCP use on its website?

  • Essential cookies for the operation of the features of our website, such as the online chat feature.
  • Functional cookies enable us to provide you with an improved experience on our website, such as remembering your preferences through previous and current site visits.
  • Analytic cookies help us compile aggregate data about site traffic and site interaction so that we can offer better site experiences and tools in the future.
  • Third party cookies placed by Microsoft application Insights, Google Analytics, WordPress and OnWEBChat and other providers for the purposes listed above. These providers are not permitted to use the information collected for any other purpose except to help us conduct and improve our services.

What personal data do the cookies process?

  • Data regarding site and page visits, session duration, device type, user interactions and more
  • The cookies are not used to identify you personally.

How does CDRCP use your information and for what purpose?

The personal information which you provide to us will be used by us for very specific purposes:

  • Plan, administer and deliver programs and services for children, youth and caregivers
  • Determine your eligibility for programs and services
  • Provide referrals to suitable community programs and services
  • Provide you with updates regarding our organization, services provided by other related organizations, upcoming events, activities and programs that may be of interest
  • Facilitate matches between caregivers and respite workers (Respite Services)
  • Register participants for professional learning and events, mentoring and the resource library (Quality Initiatives)
  • Conduct quality improvement activities, such as sending satisfaction surveys, recording chat, SMS and telephone conversations for training purposes. These may include research activities for evaluation.
  • Obtain payment for purchase of resources, merchandise and professional learning
  • Fundraise to improve our services and programs
  • Compile statistics, conduct research and evaluate services using anonymous, de-identified information
  • Comply with legal and regulatory requirements

How does CDRCP share your personal information?

CDRCP does not sell, rent or lease its customer lists to third parties. Your information will be kept private except when you consent that it can be shared, or the law says it must be shared. You may change consent at any time. As required by law, staff must report all incidents of suspected child abuse to child protection services. CDRCP must comply when the courts legally request personal information through a subpoena or court order, as required by law.

EarlyON Information you provide through the Region of Peel’s Children’s Services portal to register for EarlyON programs is provided by you directly to the Region of Peel and shared with CDRCP when you register for one of our EarlyON programs. Occasionally, CDRCP staff may assist you, with your consent, to complete your registration through the Region of Peel’s website.
Quality Initiatives/ Professional Learning/ Resources/ Mentoring CDRCP shares your first name, last name and email address to facilitate your enrollment for the following training or sessions offered by other providers. This information is shared by email:

Standard First Aid Training or Renewal CPR Training: Your first and last name and email address will be provided to the trainer to confirm and register you in the Red Cross Database.

Food Handler Training: We provide Peel Public Health with your first name, last name and email address to complete your registration for the training.

Joint Health and Safety Training: We provide your first name, last name and email address to Ontario Safety Group to complete your registration.

Live webinars: We may provide presenters with your first and last name in advance of the session for attendance purposes.

Legal clinics: We may provide the legal consultant with your name and contact information to enable the consultant to contact your directly for your scheduled call.

Info Peel/SNIP If you request additional assistance to connect to a community service, and give your consent, CDRCP may share your personal information with a community service program or agency on your behalf to facilitate a referral for additional services and supports.

If you are enrolled in the Kids Pathways Peel (KPP) program, your personal information may be shared with your consent:

  • To a KPP partner agency through a secure central database, for the purpose of providing service coordination and planning.
  • To a community service program or agency on your behalf to facilitate a referral for additional services and supports.
Respite Services If you are enrolled in Respite Services, your personal information may be shared with your consent and at your request to facilitate matches between caregivers and respite providers.

Respite provider profiles containing personal information is viewable by registered families on the platform.

Profiles created by families/caregivers can only be accessed by authorized staff at CDRCP.

CDRCP will send respite provider profiles to families/caregivers via the respiteservices.com platform to facilitate matches. Families/caregivers may view full profile of respite provider, including nearest intersection.

E-blast:

  • Families/caregivers may request and consent to CDRCP sending an email on their behalf to all active respite providers on the respiteservices.com platform. No information will be shared in the eblast that could specifically identify the family, caregiver or individual. However, information including age, gender, diagnosis and geographic proximity may be included. Family or caregiver will review and confirm the contents of the e-blast before it is sent.
  • Respite providers may request and consent to CDRCP sending an email on their behalf to all active families on the respiteservices.com platform. Identifying information will be included in the e-blast and families may contact the respite provider directly. The respite provider will review the contents of the e-blast before it is sent.

Classified Ads

  • Families/caregivers and respite providers may create their own classified ad to be included on the respiteservices.com platform with consent. No identifiable information is included in the Ad except a numerical identifier to allow CDRCP to identify the family/caregiver or respite provider. Classified 7 Ads are public facing and can be accessed by anyone, whether or not they have a respiteservices.com account.

Where does CDRCP store your information?

CDRCP stores your personal Information both in hard copy files as well as digitally on our local server, through
cloud technology and third-party servers in controlled secure environments.

How do we protect your personal information?

Whether in electronic or paper-based format, CDRCP maintains strict physical, technical and administrative
security systems to safeguard your personal information from unauthorized access, disclosure or misuse
throughout the lifecycle of the data. Premises containing personal data are securely locked and accessible only
to authorized staff. Personal data stored digitally is encrypted and protected.

CDRCP utilizes third-party providers to organize, manage and store a portion of the personal data we collect
from you. Each of our contracted third-party providers adhere to strict standards of security to protect your
privacy.

Paper and digital records are securely destroyed seven years after they are no longer required. CDRCP utilizes
third-party companies for the secure destruction of personal data and hardware.

Our staff are bound by confidentiality agreements and trained to protect your privacy, ensuring that your
personal information is used only for the purposes you have consented to.

CDRCP conducts periodic reviews to monitor and manage potential security risks and to ensure compliance
with privacy legislation.

Access and Correction

Your personal information belongs to you. You have the right to request access to your information, and, if necessary, request a correction of your personal information collected by us. You can do so by sending your request in writing to our Privacy officer.

Complaints and inquiries

If you have a complaint or an inquiry about the way we handle your personal information, we want to know about it. We endeavor to take the necessary steps to resolve your concern.
